Terms & Conditions
Last updated: September 3, 2026
These terms govern use of Identity Platform ("the Platform"), including its web application, the Identity Platform Scanner mobile app, and the desktop sync application, by institutions and the students, staff, and operators they authorize.
Who can use the Platform
- Institutions are provisioned an account by the Identity Platform team and are responsible for the accuracy of the information their registrants submit.
- Registrants (students and staff) may submit an ID card registration only through a link provided by their institution, and must provide accurate, truthful information.
- Operators (HODs, administrators, print and scan staff) are authorized by their institution and must keep their sign-in credentials — including one-time login codes — confidential.
Acceptable use
You agree not to:
- Submit false, misleading, or another person's information as your own
- Attempt to access records, cards, or accounts belonging to an institution you are not authorized for
- Use the Scanner or desktop sync apps to collect, store, or redistribute registrant data outside your institution's authorized use
- Attempt to circumvent the Platform's approval workflow, rate limits, or authentication
Registrations and ID cards
Submitting a registration does not guarantee an ID card will be issued — every submission is reviewed by an authorized reviewer at the registrant's institution, who may approve or reject it. A rejected registration can be corrected using a one-time link sent to the email address provided. Issued cards remain the property of the institution and may be deactivated, reissued, or reprinted at the institution's discretion.
Account access
Registrants do not hold a password-protected account — access to correct a submission is granted solely through a single-use link. Operators sign in to the Scanner app using a one-time code sent to their institutional email; that code and any resulting session must not be shared. We may flag or restrict a sign-in that appears to come from an unrecognized device and notify the institution's administrators.
Availability
We aim to keep the Platform available but do not guarantee uninterrupted access. Scheduled maintenance, connectivity issues, or circumstances outside our control may affect availability of the web, mobile, or desktop applications.
Limitation of liability
The Platform is provided on an "as is" basis. To the extent permitted by law, Identity Platform is not liable for indirect, incidental, or consequential damages arising from use of the Platform, including delays in card issuance or verification.
Changes to these terms
We may update these terms from time to time. Continued use of the Platform after a change constitutes acceptance of the updated terms.
